Picking employee monitoring software the right way

Let's get started by seeing when it is truly necessary to monitor employee computer use. Here are the questions you should ask yourself:

  • Does your business have information that is a commercial secret or proprietary know-how?
  • Do the same people have access to your client database and your vendor database? If access is segregated between employees, how likely is it that these employees will know each other? And are these databases valuable in themselves?
  • Do your employees perform tasks that are hard to quantify (i.e., employees are paid for time spent at their desk)?

If your answer to any of these questions is “yes”, you have good reason to monitor the activity of employees at your company using special software.

But which software should you choose? Which selection criteria are important?

  1. First and foremost, the program should record all actions that users perform at their work computers: this includes email. Skype, copying files to USB drives, and printing documents. Monitoring should be able to cover encrypted activity too (POP3S, SMTPS, HTTPS, MAPI).
  2. Secondly, there has to be a way of creating filters and searching for violations in the data that is collected. Without these analysis tools, you're just looking at a big pile of data! Color-coding of suspicious events will make your job so much easier.
  3. Thirdly, the program must inform you of violations so that you can react quickly. And you should be able to configure the types of notifications (for which event categories) that you want to receive, as well as how to receive them. Optimally, you can be notified via the program itself, email, or instant messenger.
  4. If IT staff other than you will be viewing this collected data, the program needs a way to allocate different rights for viewing the data to individual IT employees. There should be flexible rules restricting which computers and which data any specific IT employee can view.
  5. The collected data should be stored on a server in a database. This is important, because some monitoring programs store their data locally on the same computers that are being monitored. So if the operating system is reinstalled, the hard drive fails, or the user has simply turned the computer off, you cannot access the data anymore! With a centralized database, you always have access to all information at any time you need it.
  6. If you are using monitoring software to measure how much time your employees are actually spending on their work, the software needs to have convenient visual reports that show the ratio of work time to idle time.
  7. The software developer should have a track record of at least five to seven years on the market. This is a sort of litmus test for quality: if a developer does a poor job of putting together its solution, it will usually close up shop in two to three years.
